Importing and Reviewing Your Property List

Overview

Property Tools makes it easy to get started by importing your properties in bulk. Once uploaded, the system automatically enriches each property with data such as value estimates and a dedicated property page. This article walks you through uploading your property list, verifying estimates, and reviewing property details.

Step 1: Upload Your Properties

Navigate to the Properties page by selecting Properties from the main navigation menu.

This is where your property portfolio will live.

Choose the AI Upload Option on the top right of the page:


At a minimum, your spreadsheet should include:

    • Full address
    • Purchase date
    • Purchase price

Optional fields you can include:

    • Square footage
    • Bedroom and bathroom count
    • Current estimated value

 

Choose Upload Files or Drag and Drop your Files to upload your Exel or .csv file.  Then choose the Submit option to begin processing your scans once the upload is complete:

Review your list of properties to ensure accuracy and choose approve or reject. You can edit property details before approving.

Note: You can always edit property details later under the property profile.


Once uploaded, your properties will be added to your account automatically. You can always edit or update them later.

Step 2: Upload Key Property Documents

After your properties are uploaded, start importing important property objects you want to manage.

PropertyTools comes with preconfigured object types, including:

  • Association Dues
  • Insurance
  • Leases
  • Loans
  • Property Taxes
  • Services (e.g., landscaping, maintenance, utilities)
  • This section shows you how to bulk upload various objects for multiple properties. To add objects manually or individually, see the Adding Objects Article.

Navigate to the Scans page to upload any object type for multiple properties..

Choose Upload Files or Drag and Drop files (.pdf,.doc,.docx,.xls,.xlsx,.jpg,.jpeg,.png,.gif,.txt,.csv up to 20MB (max 10 files)


Our system will scan, extract, and digitize the documents.

Each document is automatically associated with the correct property and stored for future reference. Review and approve them before they’re added to your account.

Use the arrows to expand each object for a document preview and to edit details before approving. 

 

Step 3: Review Your Portfolio Dashboard

Once your documents are approved, head back to your Dashboard for a real-time overview of your portfolio.

From here, you can:

  • Track the current equity value of your full portfolio
  • View upcoming reminders and renewal deadlines
  • See which properties are missing key objects
  • Monitor expired items or upcoming expirations

 

Step 4: Use the Calendar to Stay Ahead

The Calendar module shows every upcoming due date and event from across your account—automatically generated from leases, loans, taxes, and more.

You can also add your own custom reminders, linked to specific properties.

 

What’s Next?

Now that your properties and documents are digitized, you’re ready to unlock more advanced features:

  • Track property improvements and large purchases in the Assets module
  • Manage warranties and maintenance schedules tied to those assets
  • Track your LLCs or other legal entities, including filing deadlines
  • Create financial projections based on your leases, loans, and expenses
  • Connect your bank account to automate expense tracking and reconciliation

Each of these features takes just minutes to set up.
