Asset Management

Now that your properties and key documents are set up, it’s time to start tracking major improvements and purchases using the Assets module.

Use this module to track:

  • Roof replacements
  • HVAC systems
  • Appliances
  • Fixtures
  • Flooring
  • Security systems
  • Any other long-term property additions or upgrades

For each asset, you can store:

  • Installation date and expected replacement date
  • Vendor, brand, model, and serial number
  • Warranty provider and coverage period
  • Location within the property
  • Purchase price and depreciation (optional)
  • Service manuals, receipts, or photos

Assets are automatically organized by category (e.g., HVAC, Appliances, Fixtures), and the system calculates the asset’s age and replacement timeline. You can also override these timelines manually if needed.

Once entered, each asset becomes searchable, editable, and referenceable from the property record. This is especially helpful when planning future capital expenses or responding quickly to equipment issues.

The Assets module also supports warranty tracking. You’ll see at a glance which warranties are active, expired, or about to expire—along with vendor contact info in case you need to file a claim.

Organization Management

If you manage your properties through one or more legal entities (LLCs, corporations, partnerships, trusts, etc.), the Organizations module helps you keep everything in order.

From the Organizations page, you can:

  • Create business entities and assign properties to them
  • Store EINs, state registration numbers, and formation dates
  • Upload formation documents and legal filings
  • Track recurring deadlines like:
    • Annual report filings
    • Franchise taxes
    • Business license renewals
  • Monitor compliance tasks and budget for upcoming obligations

Each organization includes a dashboard that shows assigned properties, active deadlines, document history, and registered agent information.

If you use multiple LLCs or corporate structures to segment your portfolio, this tool gives you a clean, organized view of where each property lives—and what’s due next.

AI-powered document extraction for organization paperwork (e.g., articles of incorporation, state filings) will be available soon.

These two modules—Assets and Organizations—are essential for long-term portfolio visibility, operational planning, and staying compliant. They take just a few minutes to set up but can save hours when you need to locate a document or prep for tax season.
